Since the advent of databases, programs like Access have been in high demand for data management. Despite this, if you don't know what is Microsoft Access and what is it forDo not worry, We will explain it in detail right away along with its features and functions.
But first, don't forget to download the software if you don't already have it on your computer.
What is Microsoft Access?
Microsoft Access is a database management system that helps you to manage a large number of records. At the same time, enables you to create applications that use Access such as backend.
Unlike Microsoft Excel, used for data analysis and formula calculations, Access is more useful for collecting, categorize and manipulate large amounts of data.

You can use Access to create a database of:
- Students attending a school
- Event management
- Household inventory
- Contact manager
- Project management database
- Sales channel
- Business account accounting
- and more.
Like the rest of Office applications, Access has been updated to its final version 2019. There is no portable version of Access, since they must all be installed on your computer.
Enter features and functions
Various modern templates
Access includes different simplified templates to suit our needs. These templates allow us to easily create databases and use them as applications without the need for programming knowledge.
It is a good tool for those who do not have much experience in the creation and administration of databases. In the tab “File” The different templates will be available with forms, reports, tables or with many fields that are already created by default.
Export data
Access also allows us to export our data with ease, regardless of the amount of data and whether it is linked to different sources. Among your options, it will allow us to export them to Excel with ease.
To use this function, must go to tab “External data”> Linked tables manager> Export to Excel.
Export databases in PDF
Another peculiarity of this software is that we can export our database in pdf format. This is very useful to share our databases with other users who do not have the same software and can see them as if they were images.. With this tool, they will be able to open the file in Adobe Reader without any problem.
For this you just have to go to the tab “External data” and then select the option: “PDF o XPS”. Save the file and you're done. You will have your databases in PDF.
Queries
A function that will delight those who know SQL syntax is one that allows us to perform queries. This will allow us to obtain information from all the data that we have created in our tables and is used the same SQL syntax.
We must go to “To create”> “Query design”. Once there, we will add the tables that we want to consult and we will be able to enter the queries that we want to do. Later, you must click on the option “Run” found in the upper left corner. Once this is done, you will see that it is ready.
Another tool is the query wizard that will allow us to create queries automatically. It will also help us to detect errors in the design of our queries and will suggest us to create relationships in our tables.
Dime
This function is integrated into the upper function ribbon, in the tab that says: “What do you want to do?”. Thanks to this function, we can make inquiries, create forms, boards, reports and other functions.
To use it, it is only necessary to click on it and indicate what we want to search for.
Custom solutions with VBA
VBAVisual Basic for Applications (VBA) is a programming language developed by Microsoft, integrated into your Office applications, like Excel and Access. Allows you to automate repetitive tasks, create custom forms and develop specific functions, thereby improving efficiency in data handling. With a simple syntax, VBA is accessible to both experienced and beginner programmers.. Its use has spread in business environments, where process automation.... More o Visual Basic para Aplicaciones es un lenguaje de programación que es totalmente compatible con Microsoft Access. With this language we can work in our databases in a simple way.
Some of the possible solutions are: advanced automation, achievement of errors, data validation and more. All of this will run once we start the software.
